Booking Terms and Conditions

Welcome to Kimomwe Adventures and Safaris! These Booking Terms and Conditions outline the agreement between you (the client) and Kimomwe Adventures and Safaris regarding all bookings and services provided by our company. By making a booking with us, you agree to be bound by these terms.

1. Reservations and Deposits

  • A deposit of 20% of the total tour cost is required at the time of booking to secure your reservation. This deposit is non-refundable, except as outlined in our cancellation policy.
  • The remaining balance is due 21 days before the start of the tour. Failure to pay the full balance on time may result in the cancellation of your booking, with applicable cancellation fees.

2. Payment Methods

We accept the following payment methods:

  • Bank transfers (details provided upon request)
  • Credit/Debit cards
  • Other online payment platforms as specified during the booking process

All payments must be made in USD or Tanzanian Shillings unless otherwise agreed upon.

3. Cancellations and Refunds

  • Cancellations by the Client:
    • More than 30 days before the start of the tour: 20% deposit is non-refundable.
    • Between 21 and 30 days before the start of the tour: 50% of the total tour cost is non-refundable.
    • Less than 21 days before the start of the tour: 100% of the total tour cost is non-refundable.
  • Cancellations by Kimomwe Adventures and Safaris: In rare cases, we may need to cancel a tour due to unforeseen circumstances such as natural disasters, political instability, or other emergencies. In such cases, we will offer alternative arrangements or a full refund of the tour price.

4. Amendments and Changes

  • Changes by the Client: If you need to amend your booking, please notify us in writing as soon as possible. While we will do our best to accommodate changes, availability and costs may vary. Additional charges may apply for amendments, and such changes are subject to the cancellation terms above.

  • Changes by Kimomwe Adventures and Safaris: We reserve the right to make minor changes to the tour itinerary, accommodation, or services due to operational reasons, such as weather conditions or supplier changes. We will notify you promptly of any significant changes.

5. Travel Insurance

Comprehensive travel insurance is mandatory for all clients. Your insurance should cover medical expenses, personal injury, cancellation, loss or damage to personal belongings, and other potential risks associated with travel. Kimomwe Adventures and Safaris is not responsible for any claims, losses, or damages related to events not covered by your insurance policy.

6. Passports, Visas, and Health Requirements

It is the responsibility of the client to ensure that:

  • They have a valid passport (with at least six months’ validity beyond the end of the tour).
  • Appropriate visas and entry permits for Tanzania are obtained in advance.
  • Vaccinations or other health precautions are taken, including any COVID-19 related requirements.

Kimomwe Adventures and Safaris cannot be held responsible if you are denied entry to the country due to incorrect documentation or health-related reasons.

7. Liability and Responsibility

Kimomwe Adventures and Safaris acts as an intermediary between service providers (e.g., hotels, airlines, transportation) and clients. While we do our best to ensure the safety and enjoyment of your trip, we cannot be held liable for:

  • Injuries, losses, or damages caused by third-party services.
  • Delays or cancellations due to external factors such as strikes, weather conditions, or mechanical breakdowns.
  • Loss or damage of personal belongings during the tour.

8. Force Majeure

Kimomwe Adventures and Safaris is not liable for any delay or failure in performance due to events outside of our control, including but not limited to natural disasters, war, civil unrest, government regulations, or other unforeseen events. In such cases, we will make every effort to reschedule or offer alternative arrangements.

9. Complaints

If you have any complaints during your tour, please inform your tour guide or a Kimomwe Adventures representative immediately so we can resolve the issue promptly. If the matter is not resolved during the tour, you must submit your complaint in writing within 14 days of completing the tour. We will review and address all complaints as quickly as possible.

10. Photo and Video Consent

By joining a tour with Kimomwe Adventures and Safaris, you consent to the use of any photographs or videos taken during the tour for promotional and marketing purposes unless you specifically inform us otherwise.

11. Governing Law

These terms and conditions are governed by the laws of Tanzania. Any disputes arising from or related to your booking or tour with Kimomwe Adventures and Safaris will be subject to the jurisdiction of Tanzanian courts.
